Below is a list - with descriptions - of volunteer tasks at Oregon PeaceWorks:
Introduction
The following are descriptions of volunteer jobs at Oregon PeaceWorks. Jobs may be combined with each other or split between more than one person.
As this is the first time we have had written job descriptions, we need your feedback to see how these descriptions actually fit the jobs performed.
We ask your help in documenting the job, keeping track of contacts via checklists or other means, informing the Program Director and Office Manager of your progress and what you are working on. This will allow us to answer any questions that a contact might have and to refer contacts to you.
Please contact the Executive Director listed below to volunteer or suggest job descriptions not already in this document. Some of these volunteer positions could be intern positions and are also listed in the Oregon PeaceWorks Intern Position Description Document.

Mailing Coordinator
Duties:
- Ensure enough volunteers for various mailings: monthly renewal/thank you mailing, quarterly direct mail, annual Peace Lecture mailing, Give Peace a Dance postcard, and other mailings as are needed.
- Ensure all mailing supplies are assembled and ordered on time for mailing parties such as:
- Determine total number mailing labels
- Ensure that all mail materials, such as envelopes, inserts, letters, postcards, etc. are sent to printer in time for mailing party
- Fill out proper bulk mailing reports and ensure enough bulk mailing supplies such as:
Coordinates with:
- Executive Director for mailing material contents, such as letters, inserts, postcards
- Designer/Artist for final content of mailing materials.
- Data Base Guru, Office Manager, or others supplying mailing labels/lists
- Desired skills/knowledge:
- Knowledge of File Maker Pro for running the labels
- Knowledge of bulk mail procedures
- Ability to recruit other volunteers for tasks
Estimated Time Commitment:
Varies per mailing: quarterly direct mail approximately 10 hours per mailing, renewals and other mailings around five or more.
Mailing Assistant
Duties:
Label and prepare OPW mailings up to final stage prior to mailing
Coordinates with:
Mailing Coordinator
Desired skills/knowledge:
- Previous mailing party experience
- bulk mail procedures
Estimated Time Commitment:
Three to five hours per mailing
Designer/Artist
Duties:
Provide art, layout, and camera ready materials for mailings and other needs such as Give Peace a Dance team pledge sheets and raffle tickets, etc.
Coordinates with:
- Executive Director in content and final design
- Mailing Coordinator and or printer to ensure timely production of mailing materials
- PeaceWorker Editor for PeaceWorker design needs
Desired skills/knowledge:
Knowledge of Photoshop, PageMaker, email and other programs necessary to produce quality camera-ready material

Merchandise/Event Tabling Coordinator
Duties:
- Ensure enough volunteers to staff OPW table at events where OPW has a table and or is a cosponsor
- Ensure adequate supplies of tabling materials such as:
- Other literature to be determined
- Ensure OPW tabling is ergonomically sound
Coordinates with:
Executive Director mainly for events needing tabling; may work with a particular event coordinator to see what is needed and what is available (such as tables, chair, awnings, etc.)
Desired skills/knowledge:
- Some inventory experience or prior merchandising experience
- Enjoy meeting the public if staffing the table
- Ability to recruit other volunteers for tasks
- Understanding of ergonomics
Estimated Time Commitment:
- Merchandising/Inventory — about three hours a month
- Pre-event — about two hours for packing
- Event — one and a half to six hours per event
Tabling Assistant
Duties:
Staff OPW table at events
Coordinates with:
Merchandise/Event Tabling Coordinator
Desired skills/knowledge:
- Previous tabling experience
- Enjoy meeting public
- Knowledge of OPW
Estimated Time Commitment:
Event — one and a half to six hours per event
Facilities Maintenance Coordinator
Duties:
- Provide consistent cleaning and maintenance as needed at the OPW office
- May work with outside resources to recruit services such as in carpentry, electrical work, plumbing, etc.
Coordinates with:
Executive Director and Office Manager to assess office maintenance needs
Desired skills/knowledge:
- Previous janitorial, carpentry, electrician experience very helpful
- Ability to recruit other volunteers for tasks

Phonebanking Coordinator
Duties:
Ensure enough volunteers to participate in phonebanks as needed for lobbying, getting the word out about events, etc.
Coordinates with:
- Executive Director, Merchandise/Events Tabling Coordinator, Tours/Events Booking Coordinator, Roadshow/House Party Booking Coordinator, and Legislative Coordinator to determine need for phonebank and timeliness thereof.
- Executive Director for phonebank script content
Desired skills/knowledge:
- Prior phonebanking, telemarketing, canvassing, volunteer coordination experience
- Knowledge of script writing for phonebanks
- Ability to recruit other volunteers for tasks
Estimated Time Commitment:
Approximately five to 10 hours to recruit volunteers and script writing.
Phonebanker
Duties:
- Call folks on list
- Follow script
Coordinates with:
Phonebanking Coordinator
Desired skills/knowledge:
Prior Phonebanking, Canvass, Telemarketing experience
Estimated Time Commitment:
Typical shift is one and half to two hours
Computer Maintenance Guru
Duties:
Keep OPW’s computer equipment in good health on a regular basis
Coordinates with:
All staff that use the computers to determine best time to perform maintenance
Desired skills/knowledge:
- Thorough understanding of PC computers and how they function
- Familiarity with operating systems and a range of software
- Patience with those who do not have this background
Estimated Time Commitment:
Three to five hours a month for normal maintenance, varies in emergencies
Tours/Events Booking Coordinator
Duties:
Assist others throughout the state and nationally in booking and arranging tours and speaking engagements for the various individuals and groups that are coming to this area
Coordinates with:
- Executive Director, national and regional partners for booking possibilities and the tour/individual liaisons themselves
- Merchandise/Event Tabling Coordinator for tabling opportunities
- Mailing Coordinator, Phonebanking Coordinator, Website Guru, Weekly Email Update Assistant/Coordinator and Media Outreach Coordinator for outreach and publicity
- Those responsible for booking various venues
Desired skills/knowledge:
- Knowledge of national and regional partners
- Ability to spend time on the phone and via email to ensure bookings are done in a timely manner
- Ability to get and coordinate information with those above in a timely manner to ensure best possible publicity and turn out at events
Estimated Time Commitment:
Varies — typical coordination time per event may be as little as five hours to more than 10
Legislative Coordinator
Duties:
- Keep abreast of all state and national legislation in which OPW is interested and is following
- Prepare information for OPW members and partners in a timely manner so as to be able influence legislation
- Keep up to date on Congressional recesses, town halls, forums, etc. for times when Congressional representatives are in local areas and can be lobbied directly
Coordinates with:
- Executive Director, Letter Writing Campaign Coordinator, Media Outreach Coordinator, Weekly Email Update Assistant/Coordinator, Web Guru, Phonebanking Coordinator, Mailing Coordinator to facilitate the greatest possible exposure and response from members and partners both nationally and regionally and to ensure a continued presence of OPW in Congressional offices
- May work with state, regional, and local groups for OPW related legislation
- Congressional and Legislative staff

PeaceWorker Editor Layout Assistant
Duties:
Assist in layout of PeaceWorker Coordinates with:

Familiarity with PageMaker, Illustrator, PhotoShop and scanning software
Estimated Time Commitment:
Any assistance offered during the last couple of days before the PeaceWorker goes to the printer will be very helpful. (The PeaceWorker goes to the printer usually about a week prior to the end of the month.)
Letter Writing Campaign Coordinator
Duties:
- Recruit folks to write letters to their state and Congressional representatives, newspaper editors, and other organizations as part of coordinated effort to effect legislation and/or to offer fresh insights into what a culture of peace could look like.
- Track letter writers, responses to letters, publication of letters and responses from decision makers.
Coordinates with:
Executive Director, Legislative Coordinator, Media Outreach Coordinator, and Database Guru, Letter Tracker
Desired skills/knowledge:
- Knowledge of regional newspapers and congressional contact persons
- Letter writing skills
- Experience with editorial boards
- Ability to recruit other volunteers for tasks
Estimated Time Commitment: Four hours a week
Letter Writer
Duties:
- Write letters when called upon
- Notify Letter Tracker of all letters written and to whom
- Send response, if any, to Letter Tracker

Letter writing ability
Estimated Time Commitment:
Varies — perhaps one to two hours per month
Letter Tracker
Duties:
Keep track of letters written to publications and decision makers and responses, if any, in OPW’s database

Letter Writing Coordinator and Letter Writers
Desired skills/knowledge:
Ebase or File Maker Pro
Estimated Time Commitment:
Three to five hours per month/week depending on volume
Road Show/House Party Booking Coordinator
Duties:
- Recruit and follow up on requests for Road Shows, House Parties and/or SMART presentations.
- Work with requesters on theme, venue, accommodations and other details
- Brief Program Director, Executive Director or other speakers regarding what they need to know to prepare presentations and on accommodations (if any)
- Recruit presenters and help acquire presentation material such as videos, DVDs, etc.
Coordinates with:
- Executive Director, requesters and others in the region wishing to host a Road Show, House Party or SMART presentation, content providers, the Northwest Media Project for possible presenters, and the Speakers’ Bureau Coordinator
- Also coordinates with PSR, Northwest Media Project and Eugene PeaceWorks to prevent conflicts with their programs
Desired skills/knowledge:
- Knowledge of regional presenter resources
- Willingness to recruit House Party hosts and interested local groups

Speakers’ Bureau Coordinator
Duties:
Assist groups and individuals in finding speakers on requested topics

The Northwest Media Project and the Physicians for Social Responsibility Speakers Bureau

- Ability to coordinate, plan and schedule

Media Outreach Coordinator
Duties:
- Prepare regular press releases and send them out widely
- Keep press list up to date
- Seek opportunities for more interviews and chats with media representatives
- Cultivate friendly reporters, send regular updates to them
- Contact papers to see if they are open to OPW guest editorials on timely issues
- Prepare OPW media packets

Media Assistant

PeaceWorker Distribution Assistant
Duties:
- Assist PeaceWorker Distribution Coordinator in keeping track of where PeaceWorkers are distributed
- Assist PeaceWorker Distribution Coordinator in calling volunteers to PeaceWorker mailing parties

Peace Culture Coordinator
Duties:
- Contact and work with artists to a create Peace Culture proposal and workplan.
- Work with OPW Grant Writer to obtain funds for the proposal.

Executive Director, artists, grant writer
Desired skills/knowledge:
Ability to excite artists about taking part in this program

Youth Leadership Development Coordinator
Duties:
- Develop a mentoring program for 10-18 year old activists
- Recruit youth and mentors
- Assist in planning an all-day training for young activists including locating funding for such
- Encourage youth to testify at public hearings and participate in government

Executive Director, Legislative Coordinator, Media Outreach Coordinator, and OPW Grant Writer
Desired skills/knowledge:
- Ability to communicate with, and gain the confidence of youth
- Knowledge of youth concerns and abilities

Database Guru
Duties:
- Assist Office Manager and others in maintaining database integrity and in utilizing the database
- Create a Database Entry Procedure Manual
- Assist Office Manager and others in creating new, and refining old, database codes and categories as needed

Database Entry Assistant
Duties:
- Assist Office Manager and Database Guru in database entry
- Follow procedures in Database Entry Procedure Manual
- Enter changes into the database

- Accurate data entry skills

Website Guru
Duties:
- Maintain and create WebPages, forms, etc
- Update OPW’s Website as needed
Coordinates with:
Executive Director, Weekly Email Update Coordinator/Assistant, Legislative Coordinator
Desired skills/knowledge:
Knowledge of , or willingness to learn, Mambo software. Familiarity with HTML code, CGI code and Java helpful.
Estimated Time Commitment:
Approximately four to five hours per week
Raffle Coordinator
Duties:
- Assist Executive Director in soliciting raffle prizes for OPW’s yearly raffle
- Maintain contact log and receive information from Prize Gatherers as to prize packages
- Assist in creation of raffle ticket brochure including solicitation of graphic artist to produce original
- Get raffle form original to the printer in time to be printed and received for insertion into the PeaceWorker
Coordinates with:
Executive Director, Designer/Artist, Prize Gatherers, and Executive Director in completing raffle timeline as outlined in Raffle Procedure document
Desired skills/knowledge:
- Willingness to ask for raffle prize donations
- Excel and Word experience sufficient to document contacts
Estimated Time Commitment:
These activities take place between July and December each year. Raffle ticket fliers need to be inserted in the October PeaceWorker which is mailed the last day of September. This amounts to approximately 40 hours for the whole project. During the main weeks of contacting prize gatherers, etc. it may be around two to four hours a week.
Give Peace a Dance Coordinators
Duties:
Various for example:
- Event Coordinator
- Auction Coordinator
- Hospitality Coordinator
- Teams Coordinator
- Publicity
- Entertainment

Desired skills/knowledge:
- Must be able to complete tasks by timeline in Give Peace a Dance Manual
- Commitment to follow-through on deadlines is crucial
- Depends on task, see Give Peace a Dance Manual for this as well
Estimated Time Commitment:
Preparation for this event begins in September, lasting until the Give Peace a Dance date in spring. There is also a follow-up meeting after the event. Some coordinators invest a great deal of time; others less.
Weekly Email Update Assistant/Coordinator
Duties:
- Assist Executive Director in preparing weekly email calendar updates
- Create weekly calendar in Word, eliminate non-text symbols, manual line breaks, etc. by Thursday or Friday afternoon.
(This can be done at your home or in the office)

Desired skills/knowledge:
- Microsoft Word and email program familiarity
- Editing skills are necessary to condense email announcements into brief descriptions of each activity or action alert.
Estimated Time Commitment:
This task can be split between several persons. Time required ranges upward from one to two hours a day for five days. Your actual time may vary.
